Administrative Assistant, Finance

Summary of Position

This position provides administrative support to the CFO, Director of Finance, and other Finance Team staff.

Essential Responsibilities and Duties

    • Obtain cash balances daily in various ACWIS bank accounts and prepare Daily Cash Balance report.
    • Initiate domestic and international wires, obtain approvals, and ensure completion of transmission.
    • Assist with banking compliance and distributing required items.
    • Assist with Audit & Budget Committee Meetings including meeting schedules, IT requirements, meeting material preparation and distribution.
    • Draft and edit Audit and Budget Committee meeting minutes
    • Edit and distribute various financial reports to constituents including lay leaders, donors, and staff.
    • Prepare confirmations (bank accounts, pledges, insurance policies, investment managers) for mailing and monitor responses. Follow up with second requests, as appropriate.
    • Tracking and maintaining spreadsheet of annual audit confirmations.
    • Administrative work for overall smooth-running department.
    • Draft emails and letters on behalf on team.
    • Occasional assistance with calendar coordinating for CFO.
    • Organize and maintain departmental files in shared drives.
      Maintaining supplies for CFO.
    • Manage corporate card transactions and report expenses.
    • Periodically complete signature cards, and obtain all necessary signatures whenever a signatory is added or deleted from a bank account in relation to the Corporate Resolution
    • Arrange for messengers and overnight mail deliveries, as needed.
    • Participate in special projects, as assigned.

Skills and Abilities Required

    • Bachelor’s degree and 2+ yrs. work experience.
    • Prior experience in a financial environment a plus.
    • Flexibility to meet changing work needs and demands.
    • Ability to communicate effectively and share information and resources appropriately.
    • Must be articulate and possess exceptional written and oral communication skills.
    • Excellent organizational skills, meticulous attention to detail and follow-up.
    • Demonstrated time management skills; ability to prioritize workload.
    • Excellent organizational, writing, and communicative skills.
    • Strong customer service orientation.
    • Ability to interface well with all departments of the organization, work cooperatively with department staff to achieve department goals, and maintain the highest level of confidentiality.

Computer Skills Required: 

    • Knowledge of accounting software a plus
    • Strong proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Teams, and OneDrive
    • Familiarity with Raiser’s Edge or other CRM is useful
