Marketing Assistant, Marketing Communications & Public Affairs

Summary of Position:

Reporting to the VP, Marketing Communications & Public Affairs, this position provides administrative support to the VP and department. The Marketing Assistant is involved in almost all areas of the department’s functions, including news media relations, website updates, digital strategy, direct mail and online fundraising, print production, advertising, editorial support and proofreading.

Essential Responsibilities and Duties:
  • Respond to requests from regional and national staff and to public inquiries.
  • Prepare e-mail blasts using Campaign Monitor (or other e-mail marketing programs).
  • Type various correspondence and reports; create mail merge mailings.
  • Proofread all materials, including emails, brochures, speeches, presentations, etc.
  • Format news releases and distribute to journalists (electronically and print).
  • Maintain news media contact lists, including research and updating, using Cision.
  • Organize and maintain department files, including photo and video inventory, and print materials. Organize and maintain stockroom of marketing materials—manage inventory. Use digital asset management database, Chorus, to organize electronic files.
  • Update website regularly using CMS, Umbraco.
  • Update and maintain internal Intranet and edit internal documents as necessary.
  • Coordinate donor mailing lists and distribution for mass publications mailings, using Raiser's Edge.
  • Fulfill orders for marketing materials. Prepare FedEx/UPS shipments, coordinate shipping.
  • Coordinate/track projects with vendors, including graphic designers and printers.
  • Process department invoices from vendors. Track annual budgets.
  • Schedule meetings and catering, arrange travel for VP, complete expense reports for VP.
  • Photocopy and distribute marketing materials to staff.
  • Participate in special projects, as assigned.

 Skills and Abilities Required:
  • Superior computer skills, including experience in all MS Office programs (PowerPoint and Excel). Ability to learn new software programs quickly and easily.
  • Excellent written, oral communication, and proofreading skills. Grammatical accuracy essential.
  • Fully and equally proficient on both PCs and Macs, as department uses both.
  • Knowledge of Blackbaud Raiser’s Edge software.
  • Knowledge of CMS for websites, with HTML helpful.
  • Knowledge of some basic graphic design and layout programs, including Photoshop, required.
  • Ability to perform administrative tasks at a high level, but also to work independently on self-directed projects.
  • Multi-task oriented. Demonstrate efficient time management skills and ability to prioritize workload.
  • Highly organized. Attention to detail, with 100% follow-through.
  • Excellent interpersonal and telephone skills; outstanding customer service skills; articulate and comfortable dealing with staff at all levels and with donors.
  • Energetic and resourceful team player.
  • Bachelor’s degree, minimum 3-4 years comparable work experience in an office setting.
